How to never miss a deadline again

Missing a deadline is rarely a memory problem. It is almost always a capture problem: the date existed somewhere — on a letter, in an email, on a card — but never made it anywhere that would speak up on its own.

This guide describes a method that takes a few minutes to set up and then keeps working quietly in the background.

1. Capture the date the moment you meet it

The single biggest improvement comes from a rule, not an app: whenever a date appears in front of you, record it before you put the paper down.

A renewal letter, an insurance quote, an appointment card, a warranty receipt — each of these carries a date that will be invisible again in ten minutes. Thirty seconds of capture beats any amount of good intentions.

2. Choose the notice period based on the work involved

A reminder on the day itself is nearly useless. The right notice period is however long the task actually takes, plus a little slack.

  • same-day tasks (a payment you can make in a minute): two or three days
  • things you might shop around for (insurance, broadband): three to four weeks
  • things that need an appointment (vehicle inspection, health check): three to six weeks
  • official documents (passport, licence): two to six months

3. Make anything repeating repeat by itself

Most deadlines are not one-offs. Bills return monthly, insurance yearly, inspections annually or every two years.

Setting the repeat at the moment you create the reminder means you do the work once. Next year the reminder arrives without anyone remembering to create it — which is the entire point.

4. Keep the paperwork attached to the date

The reminder tells you when; the document tells you how. Keeping them apart is why so many alerts end in a search through drawers.

Photograph the letter, the policy or the receipt and attach it to the reminder. When the alert arrives, everything needed is already there.

5. Review the month, not the day

Once a month, look at the whole month ahead rather than the next twenty-four hours. Heavy weeks become visible early, and clashes can be moved while moving them is still easy.

Is a calendar enough, or do I need a reminder app?
