NBI clearance renewal: how long it lasts and how to renew it before you need it

1. How long an NBI clearance is valid

An NBI clearance is generally valid for one year from the date of issue. The date is printed on the certificate itself.

One year passes quickly, and nothing warns you. Most people discover the clearance has expired on the day an employer asks for it — which is the worst possible moment, because renewal is not always same-day.

The requirement list is short, and the single most common reason for being turned away is an ID that does not match the name or birth date entered online.

• the appointment reference and proof of payment
• the previous clearance, if you have it
• details entered online matching the ID exactly, including middle name and suffix

4. What a “hit” means and why it delays you

A “hit” means your name matches, or resembles, a name in the records and needs verification. It is common with frequently used names and usually means a longer wait rather than a refusal.

The practical consequence is timing: a hit can add days to the release. That is the strongest argument for renewing before you actually need the document, rather than the week the employer asks.

5. The fix: renew on your schedule, not somebody else's

Because the clearance is valid for one year and nobody reminds you, the fix is to make the expiry a date you own rather than a surprise.

Set an alert one month before the issue-date anniversary. A month gives room for an appointment slot, a possible hit, and the days between payment and release.

Do the same for the documents that usually travel with it — passport, PhilSys ID, professional licence — since they all tend to be requested in the same applications.
